Privacy Policy
Effective October 20, 2026
DiamondOps is a team-management platform for youth baseball and softball organizations, available on the web at diamond-ops.com and as a mobile app for iPhone and Android. DiamondOps is operated by Josh Martin(“we,” “us”). This policy explains what information we collect, how we use it, and the choices you have.
Information we collect
We collect information that you, your organization, or your parent or guardian provide when using DiamondOps:
- Account information: name, email address, phone number, password (stored only in encrypted form), and your role in the organization.
- Player information: name, date of birth, team, position, jersey and uniform sizes, season statistics, awards, profile photo, and similar sports details entered by a guardian, coach, administrator, or the player.
- Practice Journal: journal entries, photos, and videos added by players or guardians, and notes added by coaches.
- Messages: chat messages, reactions, images, and GIFs sent in organization and team chats.
- Organization records: schedules, facility bookings, tryout registrations, team dues and payment records entered by administrators, store orders (items, sizes, and shipping address), and signed liability waivers and medical releases (which may include emergency contacts and medical information you choose to provide).
- Device information: if you turn on notifications in the mobile app, a push-notification token for your device. We also keep basic technical logs (such as IP address and browser type) needed to run and secure the service.
We do not collect payment card numbers. DiamondOps does not process online payments; dues and store payments are recorded by your organization.
The mobile app accesses your camera, microphone, and photo library only when you choose to take or attach a photo or video.
How we use information
- To provide DiamondOps to your organization: rosters, schedules, chat, the Practice Journal, the store, dues tracking, and compliance forms.
- To send emails and push notifications you need, such as new messages, schedule changes, coach notes, and account or password emails.
- To keep the service secure, prevent misuse, and keep an activity log that organization administrators can review.
- To fix problems and improve the service.
Who can see your information
Information is visible only inside your organization, according to each person's role. For example, coaches see their own teams, guardians see their own players, and player accounts see a limited team roster without adults' contact details. If your organization or a guardian chooses to publish a player profile on the organization's public website, the details selected for that profile are visible to anyone.
We do not sell or share your information
We do not sell personal information, share it for advertising, or show ads. We use the following service providers only to operate DiamondOps, and they may process information on our behalf:
- Supabase — database, sign-in, and file storage
- Vercel — website hosting
- Resend — email delivery
- Expo, Apple, and Google Firebase — push-notification delivery
- KLIPY — GIF search in chat (receives only the search terms you type)
We may also disclose information if required by law, or to protect the safety of our users.
Children's privacy
DiamondOps is used by youth sports organizations, so it holds information about players who are minors, including children under 13. Player information is entered by a parent or guardian or by the organization's administrators and coaches. A player login can be created only by the player's guardian or by an organization administrator, and when an administrator creates one, the player's linked guardians are notified. Guardians can view and edit their player's information, reset or turn off the player's login, and ask for the player's information to be deleted.
We use children's information only to provide the service to their team and organization. We never use it for advertising and never sell it. If you believe a child's information was added without a guardian's permission, contact us at privacy@diamond-ops.com and we will delete it.
How long we keep information
We keep information while your account, or your organization's account, is active. When an account or player is deleted, the information may be kept for up to 60 days (for example, in backups or to recover from a mistake) and is then permanently deleted. Records your organization keeps for its own finances and legal compliance (store orders, dues payments, signed waivers) and messages sent in team or organization chats stay with the organization when an individual account is deleted.
Your choices and rights
- See and correct: you can view and edit your profile in the app or on the website.
- Delete: you can delete your account yourself in the app or on the website, or by emailing privacy@diamond-ops.com from the email address on your account. Guardians can ask the same for their player. See how to delete your account for the steps and what is deleted.
- Notifications: you can turn push notifications off in the app or in your device settings.
Security
Information is encrypted in transit, passwords are stored only in encrypted form, and access is limited by role-based permissions. No system is perfectly secure, but we work to protect your information.
Changes to this policy
If we change this policy, we will update the effective date above. For significant changes, we will let users know in the app or by email.
